Registration & Payment

 

Registration and payment must be completed through the Club's registration system. Families are responsible for ensuring that their contact and registration information remains current. 

 

Refunds & Withdrawals

 

Any requests for refunds must be submitted in writing to the QCB Board of Directors at qcbboard@gmail.com. 

Registration fees are generally non-refundable. Refunds for medical reasons  may be considered where a skater is unable to participate for a minimum of two consecutive weeks due to a medical condition or injury. A medical note or other appropriate documentation may be requested. Where approved, a refund of the remaining registration fees may be considered on a prorated basis from the date the written request is received. The Skate Canada registrant fee is non-refundable 

A prorated refund (less the skate Canada registrant fee) may be considered where a skater trialed one CanSkate session or other exceptional circumstances. Requests submitted in writing will be reviewed on a case-by-case basis and are at the discretion of the Board. 

 

Helmets & Safety

 

All skaters are expected to follow applicable Skate Canada and facility safety requirements, including requirements for helmets and other protective equipment where applicable. 

 

Communication, Concerns & Dispute Resolution

 

In alignment with Skate Canada’s dispute resolution process, QCB strongly encourages that in the case of a dispute among members, directors, coaches, parents, or skaters, the individuals involved make every reasonable effort to resolve minor concerns respectfully amongst themselves, when appropriate. If the concern is resolved between the parties, no further action or escalation is required.

Any conversations should take place privately, away from the ice, the skaters and outside the view or hearing of others.

Where reasonable efforts have failed to resolve the conflict, or if an individual is not comfortable addressing the concern with the individual directly, a request may be submitted in writing to the Board of Directors for assistance in resolving the dispute. Requests should be submitted by email to qcbboard@gmail.com.

QCB is a volunteer-run organization. Board members should not be approached at the rink, at home or in other personal settings to address Club concerns, nor should personal phone numbers, text messages or social media accounts be used for Club-related concerns.

For a complaint to be reviewed or actioned by the Board, it must be submitted in writing by emailConcerns or complaints shared informally at the rink or through personal text messages, phone calls or social media will not be considered by the Board.

Matters that fall under applicable Skate Canada Safe Sport or complaint processes will be handled through the appropriate Skate Canada process. 

Families are asked to allow the Board reasonable time to review and respond following a written submission.

Program Changes, Misses Sessions, Inclement Weather & Rink Closures

 

QCB reserves the right to change or cancel sessions or programs due to registration numbers, ice availability, staffing, facility requirements, emergencies, weather, rink closures, or other unforeseen circumstances. 

Where changes are necessary, the Club will provide families with reasonable notice whenever possible. Please ensure that you have opted in to receive communication via Uplifter. 

Safety First: Should sessions continue as scheduled, members are encouraged to use their best judgement when traveling to and from the rink during inclement weather or other hazardous conditions.  If road conditions are unsafe, members should prioritize their safety and stay home. 

There will be no make-up sessions for weather-related cancellations or rink closures. 

QCB program fees are based on registration in a program for the season or program period and are not based on individual session attendance. 

Missed sessions due to illness, vacation, appointments, transportation issues or other personal circumstances are not eligible for a refund, credit or make-up session.  

 

Code of Conduct

 

Skaters, parents/guardians, coaches and volunteers are expected to conduct themselves in accordance with the Skate Canada Code of Ethics and to treat one another with respect, dignity and sportsmanship. 

QCB is committed to maintaining a safe, welcoming and positive skating environment. Behaviour that is disrespectful, threatening, discriminatory, harassing or otherwise inappropriate will not be tolerated. 

 

Photography & Media

 

QCB may photograph or record skaters during Club activities, events and performances for Club communications and promotional purposes. 

Families will be provided with information about media consent during registration. 

 

Privacy & Personal Information

 

Personal information provided during registration is used to administer Club programs, communicate with families and complete required Skate Canada registration. 

Personal information will be handled in accordance with applicable privacy requirements and Skate Canada policies.

 

Facility Rules 

 

All skaters, parents/guardians, and guests are expected to follow the rules and requirements of the facility where QCB programs are held. 

Failure to follow facility rules may result in the individual being asked to leave the facility or being subject to further action by the Club or facility, as applicable. 

 

These policies are intended to complement, and do not replace, applicable Skate Canada, Skate Canada Nova Scotia and facility policies and requirements. Where a Skate Canada policy or requirement applies, the applicable Skate Canada process will take precedence.
